Refill Station Program Manager

About:
Evergreen Refill Station is a nonprofit zero-waste store operated by the Evergreen Sustainability Alliance, an organization dedicated to educating and empowering our community through programs and resources that support a more resilient and sustainable mountain region. The Refill Station enables mountain-area residents and businesses to refill their own containers with cleaning and personal care products while also offering locally made, low-waste goods for purchase that help support ESA’s nonprofit programming.
We are seeking an enthusiastic, customer service-oriented team member with an
interest in sustainability to oversee day-to-day operations of the Refill store and support program growth through outreach, education, and community engagement.
Required Qualifications:

Ability to work 15-25 hours per week, including Wednesdays, Fridays, & Saturdays, with occasional evening or weekend hours for events.

Flexibility to accommodate a variable work schedule, including occasional
scheduling changes, weeks with fewer or additional hours, and willingness to be on call to respond to volunteer inquiries during shop hours. -
Ability to lift and carry 50-60+ lbs and regularly walk up 3 flights of stairs.

Access to reliable transportation, with the ability to pick up and transport
product orders in the Denver Metro area. -
Access to a computer and phone for work-related communications.

Strong written and verbal communication and interpersonal skills, including
customer service, with the ability to engage in public speaking settings. -
Interest in sustainability, waste reduction, and nonprofit community programming, and alignment with our organization's mission.
Preferred Experience:
-
Experience with volunteer coordination, nonprofit fundraising or development, donor relations, and/or community outreach.
-
Background in retail sales, inventory tracking, financial management, business marketing and/or development is a plus.

Familiarity with digital tools including Neon CRM, Square POS, Wix, Microsoft
Outlook, SharePoint, and/or OneDrive is a plus.
Responsibilities:

Volunteer & Community Engagement:
-
Recruit, train, schedule, and support volunteers for store operations and
events, coordinating in-store staffing and delegating tasks. -
Maintain volunteer communications and appreciation efforts.

Lead sponsorship development and local business outreach efforts for the Nonprofit to Business (NP2B) partnership program.

Build and maintain relationships with Blue Spruce Habitat for Humanity,
local business partners, and NP2B refill partners.

Marketing & Outreach:
-
Draft and send out newsletters twice per month to communicate store
updates, promotions, and events. -
Organize outreach events, seasonal promotions, and community
engagement activities. -
Engage in community education, sharing information about the Refill
Station, ESA programs, and sustainability. -
Communicate with staff and board of directors to facilitate cross-program
marketing opportunities within ESA.

Store Operations & Inventory Management:

Oversee day-to-day store operations and upkeep, maintaining up-to-date
signage and materials and ensure secure cash handling procedures. -
Monitor and fulfill drop-off orders and hard-to-recycle program
collections. -
Track inventory and manage product ordering, vendor communications,
pickups/deliveries, and container returns. -
Research new products with consideration for ingredient and packaging
sustainability. -
Provide excellent customer service in-store and respond promptly to
customer inquiries about products and ESA’s programs. -
Maintain accurate website and Apple/Google Business Profile information
and ensure compliance with applicable licensing, labeling, and sales tax
requirements.

Financial & Administrative Management:

Maintain up-to-date product wholesale pricing and POS inventory records.

Review pricing, sales, and margin data to support financial sustainability
and inform product selection, order quantities, and pricing decisions. -
Process invoices, track expenses, and review monthly financial reports for discrepancies.

Direct monthly business development planning calls with the Refill
Committee, participate in biweekly staff calls and monthly Board
meetings, and report on program finances and operations.
